System roles
These are the two roles available in the "Role" column under Employees > Manage Users.
Company Admin - Admins have access to all data and all sections. All admins have the same level of access. You can review, add, and remove your account admins in Employees > Manage Users.
Employee - The default role. Employees do not have access to any sections unless explicitly granted. They may receive access to award letters and/or the total rewards dashboard (see below).
Contextual roles within compensation cycles
The following roles are assigned during cycle setup and only apply within the context of a specific compensation cycle. They are not persistent user types.
Proposer - A proposer is someone assigned to make compensation change recommendations for a group of employees within a cycle. They do not have to be a direct manager. Once the cycle starts, proposers will see it in their account automatically. Proposers are assigned during the Assignments step of cycle setup.
Approver - An approver is someone who reviews and approves (or rejects) a proposer's recommendations before the cycle is finalized. One or more reviews roll up to them as part of the approval workflow. Approvers can edit, reject, and approve reviews assigned to them. They may also be a proposer for their own team. Once the cycle starts, approvers will see it in their account automatically. Approvers are assigned during the Approvals step of cycle setup.
HRBP (Business Partner) - HRBPs get access to a cycle by being designated as a supported leader's business partner. When assigned to a manager, the HRBP can view and edit that manager's review and see compensation data for all employees assigned to that manager (but not the manager's own compensation data).
Manager - Managers may participate in a cycle as a proposer or approver. If they are neither, admins can still grant them access for award letter distribution only. In that case, managers will not see any cycle screens, but they can review and send award letters once the cycle has ended and letters are released.
Access outside of cycles
For ongoing access to employee data and pay ranges outside of a cycle:
HRBPs and Managers can be granted visibility through an access profile. Access profiles use rules-based permissions to control which employees and pay ranges are visible on an ongoing basis.
To set up an access profile, go to Settings > Access Profiles.
Employee visibility
Award letters - An award letter appears in an employee's account once the cycle has ended, award letters have been released to approvers/proposers (and optionally managers), and a leader with permission has clicked "Send" for that employee's letter.
Total rewards dashboard - The dashboard can be made visible to employees by admins in Total Rewards > Dashboard settings. When visibility is turned on, employees can view their own total rewards page.
Default experience
No users outside of admins have access to any sections within Comprehensive by default.
If employees without permissions log in, none of the sections will be visible and they will see a message telling them to check back later.
Pro Tip: You can impersonate your employees to see their exact view at any time.
With explicit actions to share data
You can make different sections available to different users. As permissions are granted, the tiles will populate based on the sections to which they have access.
